MATERIALS BUYER GUIDE
Indium Foil: Purchase Document and Receiving Checklist
A purchase of Indium Foil creates several connected records: the quotation, purchase order, material specification, analytical evidence and shipment documents. This checklist helps the buyer compare those records with the Indium Foil catalog reference and the written requirements agreed for the order.

Build a document register for Indium Foil
Create a register with a document name, revision, issuer, date and review status. Link each record to the order reference and, when allocated, the material lot or batch. Distinguish a general specification or example report from a report issued for the actual supplied lot. An attractive document layout is not a substitute for matching identifiers and agreed acceptance criteria.
| Record | Review question |
|---|---|
| Quotation and purchase order | Do product identity, grade, form, quantity, packing and agreed deviations match? |
| Specification or TDS | Which revision and measurable limits define acceptance? |
| COA or analytical report | Does the identified lot have the agreed results, units and test basis? |
| SDS | Does it identify the offered form and provide the information needed for handling review? |
| Packing and shipment records | Do package identifiers, quantities and consignee details match the agreed shipment? |
Separate the catalog description from the purchase specification
Identify the exact product and the physical form needed by the receiving process. List the purity basis, critical impurities, quantity and any dimensional or size requirements. Record the test methods or document requirements used for acceptance. Ask the supplier to mark any difference between the requested specification and the offer. A matching material name is a starting point for qualification, not evidence that every technical requirement has been accepted.
Review exceptions before shipment
Record missing, inconsistent or unclear information as an open item. State what needs clarification, who will answer and when a response is needed. If the offer uses a different test method, reporting unit or grade description, request an explanation before accepting the change. Keep the supplier’s response with the controlled order records.
Country of origin, manufacturing location and dispatch point describe different aspects of the supply. Request the information required by your purchasing and import process, and agree the supporting documents for the individual order. Do not infer provenance from a company address or a catalog photograph.
Prepare the receiving team
Share the agreed product reference and acceptance checklist before delivery. At receipt, record the package count, visible condition and identifiers without treating delivery alone as technical acceptance. Compare the received labels and documents with the order. Where inspection or testing is required, use the procedure agreed by the responsible technical team.
If a discrepancy appears, preserve the records and packaging information, document the observation and contact the supplier under the agreed claims procedure. Follow the applicable SDS and your site procedures for handling; this purchasing checklist does not replace a safety assessment.
A reusable release checklist
- Product, order and lot references are consistent.
- Required records have been received and reviewed.
- Technical and commercial deviations have a written disposition.
- Receiving inspection responsibilities are assigned.
- Open issues are recorded before material release.
For a repeat purchase, retain the accepted specification revision and document register. Ask the supplier to identify proposed changes rather than assuming that the next order will automatically use the same conditions.
